Who we are

J-Noon Flooring Specialist is a flooring installation business covering Chelmsford and the surrounding area of Essex. We're the data controller for the personal data described on this page — that means we decide what's collected and why, and we're responsible for looking after it.

What we collect, and why

• Account details — username, email address and a hashed password, if you register for an account. We need this to run your account and let you log back in; your password itself is never stored in readable form.
• Contact and booking details — name, phone number, and the address where the work is to be done, when you request a quote, book a call-back, or book a job. We need this to get in touch with you and to actually carry out the work.
• Job details and messages — anything you tell us about the job (room sizes, flooring type, access notes), and any messages or photos exchanged with us through a job's chat once it's booked. This is how we plan and deliver the work, and keep a record of what was agreed.
• Payment information — if you pay by card, your card details are handled entirely by our payment provider, Stripe; they never reach our own servers. We keep a record of the payment itself (amount, date, and a reference from Stripe), not your card number.
• Reviews — if you choose to leave a review, we store the text, star rating and any photo you attach, together with your account. Reviews are only published after we've looked at them.
• Enquiries — if you use the contact form without an account, we store the name, email, phone number and message you provide, so we can reply.
• Technical data — standard things like your IP address and browser, collected automatically to keep the site secure (for example, to stop automated abuse of our forms) and to make it work properly. We don't use this to track you around the web.

We only ask for what we actually need to quote for, book, and carry out flooring work, and to run an account if you choose to have one.

Our legal basis for using your data

• Contract — most of what we do (quoting, booking, carrying out and getting paid for a job) is necessary to perform a contract with you, or to take steps at your request before entering into one.
• Legitimate interests — things like fraud prevention, keeping the site secure, and improving how it works.
• Consent — for account registration, you actively agree to this policy and our Terms & Conditions when you sign up, and we keep a record of when you did.
• Legal obligation — we may need to keep certain records (e.g. for tax purposes) for a set period regardless of any other request.

Who we share it with

We don't sell your data. It's shared only with the services that genuinely help us run the site and the business:

• Stripe — processes card payments. Stripe is PCI-DSS compliant; your card details go to them directly, not through us.
• Cloudinary — hosts uploaded photos (profile pictures, review photos, job photos, gallery photos).
• Google Calendar — if you book a call-back, the date, time and your name/phone may be added to our fitter's calendar so the call actually happens.
• Anthropic (Claude) — if you use the online quote tool, the details you type in (not your account identity) are sent to generate a rough, non-binding estimate. Every AI estimate is reviewed by a person before any job is confirmed.
• Geoapify — supplies the map tiles on our Contact page (loading the map sends your IP address to them, the same as any map service), and powers the address suggestions on the Book a job page - what you type into the address field is sent to them to look up matching addresses as you type.
• Our email and hosting providers — used to send you emails (booking confirmations, password resets, etc.) and to store the site's database securely.

We only share what each service needs to do its specific job, and we don't hand your data to anyone for marketing purposes.

How long we keep it

We keep account and job data for as long as your account is active or as long as needed to deal with any ongoing or potential dispute, and for a reasonable period after that for our own records (for example, tax and accounting rules typically require financial records to be kept for several years). If you ask us to delete your account, we'll remove what we can, but we may need to keep a minimal record of a completed job and its payments where the law requires it.

Cookies

This site uses only the cookies necessary to make it work: one to keep you logged in (your session), and one that protects forms from being submitted by malicious sites (CSRF protection). We don't use advertising or analytics cookies, and nothing here tracks you across other websites.

Your rights

Under UK data protection law, you can ask us to:

• tell you what personal data we hold about you, and why;
• correct anything that's inaccurate or out of date;
• delete your data, where we're not required to keep it;
• restrict or object to certain uses of your data; and
• receive a copy of your data in a portable format.

Most of this you can already do yourself from your account page once logged in. For anything else, email us at [email protected] and we'll respond within a reasonable time. If you're unhappy with how we've handled your data, you can also complain to the Information Commissioner's Office (ICO), the UK's data protection regulator.

Children

This site is intended for adults arranging flooring work. We don't knowingly collect data from children.

Changes to this policy

If we change how we handle your data, we'll update this page and change the date at the top. Significant changes will be flagged more prominently.
